Riksarkivet återupptar arbetet med Förvaltningsgemensamma specifikationer (FGS)

The Swedish National Archives resumes the work with Common specifications

Riksarkivet återupptar nu arbetet med att fastslå och peka ut rekommenderade utbytesformat för olika informationstyper i form av FGS:er.

Nya beslutade FGS:er

Som ett första steg pekar Riksarkivet ut och fastställer EU-specifikationerna E-ARK CSIP i kombination med E-ARK SIP som FGS Paketstruktur version 2.0 och EU-specifikationen CITS ERMS som FGS Ärendehantering 2.0.

Beslutade tillämpningar av FGS:er för överlämnande till Riksarkivet

Samtidigt har Riksarkivet tagit fram och beslutat om tillämpningar till E-ARK CSIP, E-ARK SIP och CITS ERMS för överlämnande av informationspaket och ärendehanteringsinformation till Riksarkivet.

Riksarkivets tillämpning av E-ARK CSIP och E-ARK SIP för leveranser till Riksarkivet finns att läsa här.

Riksarkivets tillämpning av CITS ERMS för leveranser till Riksarkivet finns att läsa här.

Dessa tillämpningar kan också tjäna som exempel vid den egna implementeringen av specifikationerna E-ARK CSIP, E-ARK SIP och CITS ERMS.

Det innebär att det står var och en fritt att tillämpa specifikationerna E-ARK CSIP, E-ARK SIP och CITS ERMS efter behoven i den egna organisationen. Däremot ska överlämnande av arkivinformation till Riksarkivet ske i enlighet med Riksarkivets tillämpningar av specifikationerna. Det medför att en egen implementering av E-ARK CSIP, E-ARK SIP och CITS ERMS även måste ta höjd för att informationen ska kunna exporteras eller mappas om i enlighet med Riksarkivets tillämpningar.

Äldre versioner av FGS Paketstruktur och FGS Ärendehantering kommer även fortsättningsvis att kunna användas men vid överlämnande av information till Riksarkivet i enlighet med FGS Paketstruktur 2.0 (E-ARK CSIP och E-ARK SIP) och FGS Ärendehantering 2.0 (CITS ERMS), ska Riksarkivets fastställda tillämpningar användas.

Riksarkivets fortsatta arbete med FGS:er

Inom kort kommer Riksarkivet att påbörja implementeringen av tillämpningen av E-ARK CSIP och E-ARK SIP i sina system för mottagande.

Riksarkivets arbete med FGS:er kommer som tidigare annonserats inte att bedrivas i samma former som det gjordes mellan åren 2014-2021. Bland annat så kommer Riksarkivet åtminstone inte till en början att stödja några framtagningsprojekt av FGS:er i förvaltningen.

I stället kommer man att börja med att peka ut redan befintliga utbytesformat som FGS:er och i så stor utsträckning som möjligt att ta fram tillämpningar och anpassningar av dessa för överlämnande till Riksarkivet och som exempel för implementeringar i förvaltningen.

Riksarkivet framtida arbete med FGS:er kommer att kommuniceras via Riksarkivets webbplats och via Riksarkivets nyhetsbrev om informationshantering.

Ingen renodlad FGS-funktion kommer längre att finnas vid Riksarkivet men frågor kommer åter att kunna ställas till FGS-brevlådan: ra-fgs@riksarkivet.se.

The Swedish National Archives resumes the work with Common specifications

The Swedish National Archives is now resuming the work to establish and identify common specifications with recommended exchange formats for different types of information.

New Common specifications

As a first step, the Swedish National Archives identifies and establishes the EU-specifications E-ARK CSIP in combination with E-ARK SIP as FGS Paketstruktur version 2.0 and the EU-specification CITS ERMS as FGS Ärendehantering 2.0.

Specifications that establish The Swedish National Archives use of Common specifications

At the same time, The Swedish National Archives has developed and decided on specifications that establish the use of E-ARK CSIP, EARK SIP and CITS ERMS for the submission of information packages and ERMS information to the Swedish National Archives.

The Swedish National Archives specifications on how to use E-ARK CSIP, EARK SIP and CITS ERMS can also serve as examples for the implementing E-ARK CSIP, EARK SIP in other organizations.

This means that swedish agencies are free to apply E-ARK CSIP, E-ARK SIP and CITS ERMS according to the needs of their organization. On the other hand submission of archival information to the Swedish National Archives must take place in accordance with the Swedish National Archives specifications on how to use E-ARK CSIP, E-ARK SIP and CITS ERMS. This means that an own implementation of E-ARK CSIP, E-ARK SIP and CITS ERMS must take The Swedish National Archives specifications on submission into account so that the information can be exported or remapped in accordance to these specifications.

Older versions of FGS Paketstruktur and FGS Ärendehantering will still be possible to use. However when submitting information packages in accordance with FGS Paketstruktur 2.0 (E-ARK CISP and E-ARK SIP) to the Swedish National Archives, the specification on how to use E-ARK CISP and E-ARK SIP shall be used, and when submitting ERMS information in accordance with FGS Ärendehantering 2.0 (CITS ERMS) to the Swedish National Archives the specification on how to use CITS ERMS shall be used.

The Swedish National Archives will shortly begin the implementation of E-ARK CSIP and E-ARK SIP in its delivery systems.

The Swedish National Archives future work with Common specifications

As previously announced, the Swedish National Archives work with common specifications will not be carried out in the same form as it was done between the years 2014 and 2021. Among other things, the the Swedish National Archives will not, at least initially, support any production of common specifications in the administration. Instead, we will start by identifying already existing exchange formats as common specifications and, to as far as possible, develop specifications on how to use these for submission of information to the Swedish National Archives.

The Swedish National Archives work with common specifications will be communicated via The Swedish National Archives website and via The Swedish National Archives newsletter on information management.

The Swedish National Archives will no longer have a specific function for common specifications, but questions can be sent to ra-fgs@riksarkivet.se.
